  2. Use Copy HTML first. If Outlook strips formatting when pasting, use Copy Rendered.
  3. In classic Outlook for Windows go to File › Options › Mail › Signatures.
  4. Create or edit a signature and paste the copied signature into the editor.
  5. Save and send a quick test email to confirm formatting.

Outlook on the web

  1. Click the settings icon and open Accounts › Signatures.
  2. Create a new signature or edit an existing one.
  3. Paste the copied signature into the signature editor.
  4. Save your changes.
  5. Send a test email to confirm the signature appears correctly.

For best results, send a quick test to Outlook desktop, Outlook web, Gmail, Apple Mail, and mobile to confirm spacing and image loading.

Note: Outlook, Gmail, Apple Mail, and mobile clients handle dark mode and image proxying differently. This file keeps the markup simple and heavily inlined for broad compatibility, but some client-controlled dark mode behavior can still vary outside your control.
